A reservation and driving authorization answer different questions
Before traveling to a rental counter, ask the actual pickup branch to confirm how it will handle your booking and driver documents. A reservation describes a commercial arrangement; it should not be treated as proof that your driving authorization is suitable or that every collection requirement has been met.
Shanghai's official temporary-permit guidance limits domestic rental use under that route to small cars in C1 or C2 categories, subject to the foreign license's corresponding entitlement. It also says to carry the rental contract when driving a rented vehicle. Confirm your own permit and vehicle with the responsible parties; do not infer eligibility from a booking website's car photograph.
Address the branch handling collection
Identify the location and your reservation through the provider's normal contact channel. Ask whether the reply comes from the branch that will release the vehicle or from a central service team. If the latter, request confirmation that any special document question has been checked with the relevant branch.
Avoid forwarding passport images to an unverified contact simply because someone claims to work at the airport. Start with the booking reference through an authenticated channel and describe the document types. Share personal images only when the recipient and purpose are clear. Keep the confirmation with your private travel records.
Describe the driver and proposed vehicle accurately
Tell the branch which driving authorization you actually hold, or explain that an application is still pending. Do not describe a translation as a driving permit. State the intended driver and whether another person also wishes to drive, then ask what the branch needs to confirm each person's eligibility under its booking terms.
Ask whether the vehicle to be supplied has the transmission and other characteristics you expect. If the booking promises a model or similar, clarify which substitutions are possible and whether you may decline an unsuitable one. Any uncertainty about what you are legally entitled to drive belongs with the issuing authority, not a salesperson's guess.
Ask for specific payment and collection details
Rather than asking whether foreign cards work in China, ask about the precise payment method you intend to use for this booking. Confirm whose name must be on the card or account, what authorization or deposit arrangement applies, and what happens if the payment method is not accepted at collection. Avoid sharing full card details in an ordinary message.
Confirm the collection address, meeting procedure and relevant hours. If your flight is delayed, ask whom to contact and what the booking terms say about late arrival. A citywide contact number or an airport name is not enough to locate a specific counter after a long journey.
Use a message that separates each decision
The following structure is a practical enquiry template, not a legal document. Replace the descriptive phrases with your actual details and leave out information that is not relevant. If the permit is pending, make that explicit rather than implying that it has already been issued.
I am collecting my reserved vehicle from your pickup branch on my booked date. My intended driver documents are the documents I actually hold, and my permit status is confirmed or still pending. Please confirm the originals and supporting documents your branch requires, the vehicle and transmission arrangement, the accepted payment method and deposit terms, the collection procedure, and what happens if collection cannot proceed. Please identify any points that still need to be checked.
- Driver-document check: confirmed, pending or not accepted.
- Vehicle and transmission: confirmed or subject to substitution.
- Payment and deposit: method and conditions clearly stated.
- Collection and cancellation: branch-specific procedure and terms.
Read the answer for gaps
A reply saying no problem may not answer every question. Ask a follow-up about unresolved points, especially where the response refers you to terms you have not received. Read the actual rental agreement before accepting it. This article does not assess insurance coverage, deposit fairness or a provider's legal obligations.
At collection, compare the documents and vehicle with the confirmation. If an unexpected substitution or new condition appears, resolve it before driving away. Keep a reasonable transport alternative so that you are not pressured to proceed with an arrangement you do not understand.
Keep permit and rental questions with the right party
The rental provider should explain its collection and contract requirements. The issuing authority decides driving authorization. A translation provider can explain the document work it offers, but should not be treated as automatically controlling either of those decisions. This division makes it easier to ask a precise question and obtain a useful answer.
